Presenter Timeline and Resources

Below is some basic information and standard guideline materials to help you as you create your Paper and prepare your talk or Poster. The purpose of the Guidelines is to aid individuals as they prepare a finished professional product and their presentation. The sections below discuss in order:

  1. Presenter Obligations and Timetable
  2. Paper Guidelines
  3. Resources for Presenters (Forms/Templates/Tips/Info on creating PDF files.)
  4. Presenters FAQ

Presenter Obligations and Timetable

The following is the schedule for submission of abstracts and, if your abstract is accepted, the timing of the submission of your draft and final versions.

Item Due Date Details
Abstracts March 28

All abstracts must be submitted to the NESUG Call For Papers website. Select your first and second choice sections where you think your presentation might fit to gain maximum exposure of your abstract.

Section Chairs will notify abstract submitters of their acceptance by April 21.

Draft Papers June 23

A draft PDF version of each paper must be submitted to the NESUG Call For Papers website. Earlier submissions are welcome and appreciated by the Section Chairs. The sections chairs and proceedings coordinator will review and provide any necessary feedback to each presenter.

Your Section Chairs are the primary resources to contact with questions regarding the content and appearance of your paper, issues about paper names, and any questions about getting your paper uploaded to the website. If you have any technical problems making the PDF, or if you find that the PDF does not reflect the way your paper looks in source text, please contact your Section Chair.

Permission to Publish Form June 23

The Permission to Publish form, available below under resources, must be printed and signed by ALL authors of each paper. Authors can send their signed Permission to Publish forms in one of three ways:

  • Mail to

NESUG Inc.
P.O. Box 7701
Silver Spring, MD 20907

  • Fax to the NESUG Fax(number is on the form).
  • Scan and email to PTP@nesug.org (info on the form).

Final Papers Due

July 7 The final version of each paper must be in PDF format, named with your paper code and submitted to the NESUG 2008 website.

Draft of Presentations (PDF) files loaded

July 21

Whether or not you must submit a draft and/or final version of your presentation in advance of the conference is at the discretion of your section chair. For example, because of the very tight scheduling at the conference, Coders' Corner typically requires a final presentation be uploaded about a week before the conference. Contact your Section Chairs for details specific to your section.

Hands-on workshop files Aug 4 Hands-on Workshops ONLY: Presenter Software Requirements and ALL files needed for workshop (Data sets, exercises, example program code) must be uploaded by this date. The HOW Section Chairs will provide presenters with additional details about file formats well in advance of this date.

Paper Guidelines

NESUG does not publish a printed version of the Conference Proceedings. A CD version of the Conference Proceedings will be produced containing each presentation. In order to create a professional product, it is important that the papers are prepared in a consistent fashion. This is achieved by starting with the SAS Global Forum 2008 Paper Guidelines.

There is an exception to these guidelines when submitting NESUG papers:

PLEASE do NOT put your paper code at the top of Page 1.

In a nutshell, if you prepared a paper for SAS Global Forum 2008, the only change necessary prior to submitting as a NESUG paper would be to remove the paper code/number from the top of page 1. Otherwise, the paper is acceptable for NESUG.

Please keep in mind that NESUG papers are not simply a copy of the slides used for the presentation or the exhibits that comprise the Poster. There are more resources below to help you prepare the contents of your paper.

Each paper is assigned a number(paper code) in the form of xxnn where the xx is a code for the section and the nnis a sequential number.

Please use this paper code as the name of your PDF file e.g. AS03.pdf or CC06.pdf, etc. when you upload.

Remembering Your Audience: How to Present Technical Information by Gregory Nelson and Neil Howard is a good description of what makes a good presentation.

We are including a 'sample' presentation template that can be used if you would like to or at least as an idea to follow.

Poster Presenters can visit the Poster Resources page for more guidance and suggestions for developing an effective Poster.

All presenters might find valuable tips and ideas in So You Want to Write a SUGI Paper?: That Paper About Writing a Paper, Dianne Louise Rhodes. This paper was first presented at NESUG. It has excellent tips for researching, writing, and presenting a paper. Note, This paper is in SUGI, not NESUG, format.
